Bud Security Kft. is looking for an employee to fill the position of

Personal assistant and sales coordinator

Purpose of this role

Support the professional and administrative tasks relating to Director Security and to the organizational unit leaded by him. Coordinate the security projects lead by Corporate Unit Security. Coordinate Sales activity of BUD Security Kft.

Responsibilities
  • Organize managerial programs, keep records of deadlines, organize business trips
  • Prepare and coordinate management meetings, coordinate work and deadlines assigned during meetings
  • Prepare internal and external meeting documents and presentations, ensure the availability of the necessary information
  • Keep minutes during managerial meetings
  • Open incoming mail, handle and file incoming and outgoing letters, handle telephone calls, receive guests in accordance with business protocol requirements
  • Adequately and continuously handle confidential company documents in accordance with internal regulations and instructions
  • Represent the manager in various matters out of the office in accordance with general guidance
  • Handle the procurement orders, requests and incoming invoices in the ERP system.
  • Keep track of the budget of CUS lead projects, creating reports and analyzing saving potentials.
  • Supporting the planning of different CUS budgets and monitoring budget usage. (both CAPEX and OPEX)
  • Coordinate ISO audit connected to Corporate Unit Security, during the period of time between two audits assure the operation in respect of standards
  • Coordinate the activities related to the ISO 50001 energy management system at BUD Security Kft in order to support BUD energy and carbon management program
  • Ensure the supply of the appropriate stationery and office equipment for the entire Customer Unit Security
  • Keep and handle working hours records of CUS.
  • Design and coordinate information materials, plan marketing/ ad materials.
  • Track and keep up to date of request for proposals and procurements. Participate in company events and help to prepare background materials.
  • Develop the system of sales back office (request for proposal, offers, status of projects, etc.) and keep it up to date, provide administration work connected to marketing tasks

Education, experience, skills and competencies
  • a collage/university degree
  • at least 3 years of experience in the field, (multinational company, at top-management)
  • high-user-level computing skills
  • a fluent-level knowledge of English in oral and written
  •  “B” type driving license
  • Above average problem solving and organizational skills
  • High level cooperation skills, good relationship building
  • Complex overview
  • Great communication skills, exactitude
